What we collect
When you request service, we collect your name, phone, optional email, service address, appliance information, problem description, preferred visit times, contact preference, and consent to service-related contact. If you choose to upload a photo, we store that photo with the request.
Why we use it
We use this information to review service coverage, respond to your request, plan visits, prepare estimates, and keep service and invoice records. We do not sell your information or use your request as consent to marketing.
Where information goes
Our website uses a private database and protected photo storage. During the local preview, these records stay in the local development environment. A hosted version uses Cloudflare Workers, D1, and R2 to run the website and store its records. Staff sign-in can use OpenAI Sites managed authentication; only explicitly authorized staff can access records.
We send the street, city, state, and ZIP code to the US Census Geocoder to help check city boundaries. Your name, phone, appliance details, and unit number are not sent to that service. A location match may still need human review.
When you call the AI assistant, Twilio connects the call and OpenAI processes live audio to respond. We save concise call summaries, service details you provide, and usage records. The assistant identifies itself as AI.
Recording and summaries
Call recording is disabled. The system does not save audio recordings. If recording is introduced later, this notice and the call’s notice and consent flow must be updated first. A live AI assistant can create text summaries of details you provide without saving an audio recording. Service providers may retain data under their own terms.
Who can access records
The owner and authorized dispatch staff can review service records. A technician can access only assigned work. Photos are private and require staff sign-in. We use necessary staff-session cookies and local interface preferences; no advertising or analytics trackers are included.
Payments
This website does not collect or store payment-card details. Payments must be handled by an established payment provider. The office can record invoice status and a provider’s transaction reference.
Retention and requests
The current operational retention target is 365 days, subject to service-record and accounting needs. Deletion is handled by the owner; it is not automatic. To ask about, correct, or request removal of your data, use the service request form and include your reference number.
Security and your choices
Provide only details relevant to the repair, and avoid photos of people or private documents. Photo metadata may be included in your original file. You can request service without a photo or email address. Please do not put payment-card information in the form.
